The problem
Inbound leads need to be read, qualified and booked quickly, and doing it by hand inside the CRM means slow replies and duplicate contacts.
What I built
- 1
A form submission or inbound webhook fires into n8n, which normalises the payload and hands it to an AI agent.
- 2
The agent reads the enquiry in context — what they asked for, budget signals, timeline, how they found you — and returns a Hot, Warm or Cold verdict, a short reason and the next action.
- 3
Hot leads are written back into GoHighLevel as a contact and an opportunity, then offered live calendar slots from the GHL calendar API and booked automatically.
- 4
Warm leads are tagged into a nurture sequence with a follow-up task; Cold leads are logged and tagged so nothing is lost.
- 5
Contacts are matched on email with a phone-number fallback before anything is written, and every step has retry and error handling with failures surfaced to a notification channel.
Result
A qualified lead goes from form fill to confirmed appointment with no human in the loop, and returning leads update their existing record instead of creating duplicates.
